Job Description

We are looking for an Associate to join our Family Office Services Team. The Associate will be responsible for supporting the daily functions of a multi-family office for ultra-high net worth multi-generational families. As a valued member of the team, the Associate will work to directly support team members with daily tasks including maintaining client records, managing and synthesizing critical client data, gathering and tracking tax documentation for filings, research and execution of special projects, and delivering excellence to our clients. The ideal candidate will enjoy setting goals, have a meticulous attention to detail, thrive in a fast-paced environment and be accountable for delivering results.

Job Responsibilities

    • Work closely with the internal client team as well as the client’s third-party advisors and vendors to ensure timely and effective execution of private family office operational responsibilities
    • Assist Advisors with full suite tax compliance coordination with the client’s CPA teams for all personal, business entity, charitable foundation, and fiduciary filings
    • Understand client transactions and financial statements to effectively synthesize information with the client accountant to ensure timely and accurate reporting
    • Support team members with Human Resource functions for the client’s employees including onboarding, benefits, annual salary reviews and conflict resolution
    • Review client invoices and work closely with bill pay team to ensure accurate and timely payment
    • Establish and maintain organized personal and financial records for clients
    • Assist with the administration of grants for private family foundations and personal charitable giving
    • Assist with facilitation of insurance renewals and reconciliation of scheduled items
    • Participate in research and execution of solutions for bespoke projects as assigned

    Qualifications

    • Bachelor’s degree in finance or business preferred
    • Minimum of five years of related experience
    • Strong written and verbal communication skills
    • Demonstrate emotional intelligence with client communications
    • Highly detail-oriented with the ability to self-review
    • Self-starter; works with a sense of urgency and ownership
    • Ability to analyze and report on qualitative and quantitative data
    • Ability to organize, prioritize, and meet deadlines with minimal supervision and demonstrate flexibility with shifting priorities
    • Advanced Microsoft Office skills with emphasis on Word, Excel, Outlook, and PowerPoint
    • Ability to travel to perform additional tasks as needed
