Job Description

AlTi is looking for an Office Manager/ Administrative Support Associate in our Dallas office location. We are looking for someone with strong administrative skills, an ability to think proactively, and the ability to interface professionally with senior executives, prospects, and intermediaries in a fast-paced environment. This person should demonstrate a professional, positive, and pleasant attitude.

Job Responsibilities

  • Coordinate and schedule meetings, assist with conference room scheduling, and set up zoom meetings when needed as well as troubleshoot scheduling conflicts as they arise
  • Main contact with building management and vendors
  • Sort and distribute mail and faxes, prepare overnight mail including FedEx drop offs
  • Greet and welcome visitors to the office
  • Validate guest parking and reconcile valet/parking billing
  • Onboard new Dallas office employees by setting up phones, office keys/badges, parking accounts and other related tasks
  • Print and bind materials for Advisors in the Dallas office, including quarterly review materials for client meetings
  • Manage business supplies with office and remote admins (business cards, collateral, ordering, etc.), coordination of ordering and distribution of promotional items
  • Maintain and manage service calls for company equipment i.e., coffee, water machine etc.
  • Proactively monitor and order office/ kitchen supplies on an as needed basis, maintain office cleanliness, and troubleshoot office needs
  • Additional administrative support as needed to the Dallas office team such as formatting documents, tracking event RSVPs, updating presentations, researching event locations, catering menus, etc. as needed
  • Process monthly expense reports and company invoices for payment for senior executives as needed
  • Assist and provide any business travel and accommodations i.e., local hotels, restaurants
  • Perform other related duties as assigned.

Qualifications

  • Bachelor’s degree preferred
  • Ability to interact with the strictest confidence, professionalism and respect with all levels of executive management, support staff, clients, etc.
  • Excellent verbal and written communication skills
  • Highly organized, with relentless attention to detail and proofreading
  • Ability to use critical intelligence in understanding our business and the contents of work product
  • Ability to multi-task and prioritize in a highly visible, fast-paced, team-oriented environment
  • Strong administrative and problem-solving skills
  • Self-guided and highly responsive; essential to keep track of and report on progress of projects
  • Must have personal pride in providing high quality, error free work no matter how large or small the task
  • Advanced Microsoft Office – especially Excel, Power Point and Word
  • General ability to quickly learn new technology
  • Overtime as needed, timely completion of deadlines imperative
